Systems, apps and automation

Each piece works on its own. Between them, there's you.

Bookings, requests, client conversations and invoices each live in a different app. We take care of the path between them: we connect them, automate the steps that repeat and keep them up to date.

We build on your process, on top of the apps you already use, and we stay responsible for the system after delivery.

01 · Business process automation

Business process automation

Most of the hours lost in a small business don't go into the actual work, but into moving information from one place to another: from a form into a spreadsheet, from the spreadsheet into an email, from the email into the calendar. Process automation removes exactly that path.

What it solves

  • The same data, entered three times, in three places.
  • A forgotten step only shows up a week later, at the client.
  • The only way to know where a request stands is to ask someone.
  • Every extra client brings extra hours of admin.
  • The person who "knows how it's done" is away, and the process stops.
  • Mistakes get fixed quietly, so their cost stays hidden.

What you get

  • The process map, documented and yours
  • Automations connected to your existing apps
  • An instant notification on every failure, not a discovery a month later
  • Changes to the process, included in the subscription

How it's built

  1. 01

    We map the real process

Not the one in the job description, but the one that actually happens. It usually turns out there are two or three parallel processes, not one.

  2. 02

We pick the points worth automating

A step that takes two minutes but happens forty times a week takes priority over one that takes an hour and happens once a month.

  3. 03

    We build and connect

The system connects to your existing apps via API or webhook. We don't change the tools you work with unless one of them is genuinely getting in the way.

  4. 04

We run in parallel, then hand over

At first, the automation runs alongside the manual process, so any differences are visible. Only once there are none does the manual version stop.

02 · WhatsApp, Instagram, Facebook, phone

AI receptionist, on every channel, around the clock

Most lost clients don't go to a competitor because of price. They go because they messaged on WhatsApp or called, and the reply came the next day. The AI receptionist covers exactly the hours when you're working, sleeping or on vacation — in writing and on the phone.

What it solves

  • Messages come in while you're with a client and sit unread for hours.
  • Missed calls don't get returned, and the client calls the next business on the list.
  • Conversations across three apps and two phones; the Instagram ones get lost among personal notifications.
  • Whoever replies doesn't have the client's full history.
  • The same five questions, dozens of times a day.
  • Evenings, weekends and public holidays stay uncovered.

What you get

  • Automatic replies to messages and calls, 24/7
  • Official connection to WhatsApp Business, Instagram and Facebook
  • Booking straight into your calendar, with confirmation
  • Every conversation in one place, with history per client
  • Cases marked sensitive go to a person, with no overlap with the system
  • A transcript of every conversation

How it's built

  1. 01

We gather what the business knows

Prices, opening hours, services, cancellation terms, the questions that keep coming back. These become the base the system answers from — it doesn't make things up.

  2. 02

    We connect the channels officially

WhatsApp, Instagram and Facebook through Meta's official APIs, not workarounds that risk getting the account blocked. Plus the phone, the form on your website and the calendar you already use.

  3. 03

    We unify the conversations

Every channel lands in one place, with the client's history next to the message. Whoever replies sees what was discussed before.

  4. 04

    We decide where it stops

We define explicitly what it never answers on its own and hands over to a person: negotiations, medical cases, complaints. When you step into a conversation, the system steps back from that thread. The limit is yours, not ours.

  5. 05

    We test on real conversations

We run it on your message history before launch. You see its replies to cases that actually happened, not to made-up examples.

03 · Appointments and no-shows

Appointment automation and fewer no-shows

A no-show doesn't just cost the missed session. It costs the whole slot, which you could have given to someone else if you'd known a day earlier. The booking system closes exactly that window.

What it solves

  • Bookings are made over messages and reach the calendar late, or never.
  • You only find out about a no-show when the client doesn't turn up.
  • One reschedule: five messages and an hour of waiting.
  • Freed-up slots stay empty, because nobody finds out about them.
  • Double bookings are discovered when both clients show up.
  • Only the person who manages the schedule can answer "any slots on Thursday?".

What you get

  • Booking straight from the conversation, into your calendar
  • Instant confirmation and a reminder before the session
  • A reschedule and cancel link, no messages needed
  • Freed-up slots, flagged to be offered again
  • Busy slots in your calendar, blocked automatically
  • Separate rules per service type: duration, breaks, notice

How it's built

  1. 01

    We connect your real calendar

The system reads availability from the calendar you already keep. You don't have to maintain two parallel schedules.

  2. 02

    We set your rules

Duration per service type, breaks, minimum notice, who can book directly and who goes through you. All of it can be changed later.

  3. 03

We set up the confirmation and the reminder

Timing matters more than wording. A reminder 24 hours before catches the reschedule; one an hour before only catches the cancellation.

  4. 04

    We open up one-click rescheduling

A client who can no longer make it has a link, not a phone number. The slot frees itself up and can be offered to someone else.

04 · Leads and CRM

CRM integration and lead automation

A lead that gets a reply in five minutes and one that gets a reply the next day are not the same lead. The difference doesn't show up this month, but next quarter — and usually nobody measures it.

What it solves

  • Requests come in from five places and don't all end up in one.
  • Nobody knows which channel the clients who actually buy come from.
  • Follow-up is done from memory, so it's uneven.
  • Quotes the client doesn't answer get no follow-up.
  • Two people call the same client without knowing about each other.
  • A three-month-old lead looks the same as yesterday's.

What you get

  • Every lead in a single CRM, with its source tagged
  • An instant automatic reply, on any channel
  • Automatic follow-up that doesn't depend on memory
  • A monthly report per channel: requests, conversions, cost per client

How it's built

  1. 01

    We gather every source

Form, phone, WhatsApp, Instagram, referrals, paid campaigns. Every lead comes in with its source tagged, automatically.

  2. 02

We set up the instant reply

The confirmation goes out within seconds, with clear next steps. It doesn't replace the quote, but it stops the client from writing to the next business.

  3. 03

    We build the follow-up

The follow-up sequence runs on its own until there's a reply, or until the limit you set. Without depending on who happens to remember.

  4. 04

    We connect the reporting

At the end you see how many requests came in on each channel and how many turned into clients. That changes where you put your budget next month.
