Pricing and payment

What does it cost?

The Start package begins at €799 setup + €199/month. Full packages run from €1,399 to €2,799 setup + €299 to €599/month. Setup is paid in 2 instalments: 50% when work starts, 50% on delivery. All prices are shown on the pricing page. No per-message or per-seat fees. The first subscription month is free at any term you sign, once. A 6 or 12 month commitment also brings free Flowetica Care months and a better monthly price.

What do I get if I commit for several months?

The first subscription month is free at any term you sign — 3, 6 or 12 — and it is given once, on first signature. It is not repeated on renewal. What grows with the term are the Flowetica Care months: at 6 months you get 2 months of Care free, at 12 months you get 6. Those come on top of the free month, not instead of it, and you activate them from the dashboard whenever you want. On top of that, the longer the term, the better the monthly price. The exact term is agreed on the 30-minute call.

What does the subscription cover, and what is paid separately?

The subscription covers keeping the system running: hosting, monitoring, error fixes, maintenance updates and support. Improvements — flow changes, new automations, adjustments to your process — come from Flowetica Care, which includes 4 hours a month. Without Flowetica Care, these are billed at €79/hour, with a 1 hour minimum billing block. Urgent work, requested with less than 24 hours' notice or outside business hours, carries a 50% surcharge. Entirely new functionality is quoted separately, as a project.

What does a fixed monthly price mean?

The subscription includes hosting on Flowetica's European infrastructure, uptime and error monitoring, error fixes within 48 hours, the Flowetica Dashboard, and the change hours included in your package. New features and new automations are quoted separately or included through the Flowetica Care add-on.

What happens if I want to stop?

Start has no commitment. On the packages, the term is chosen on the 30-minute call from 3, 6 or 12 months, the minimum time in which results become measurable. After the term ends you can stop any time, with 30 days' notice. Your data stays yours.

How we work

How long does a Flowetica system take to implement?

Most first systems are live in 2 to 4 weeks, depending on complexity. We define the exact scope on the 30-minute call, build in short stages, test before launch and hand over with a live session, so you see results early.

Do I have to configure or manage anything?

No. Flowetica builds, configures, connects and runs the systems for you, on the tools you already use. You focus on the business; we handle everything technical.

What if I need something that doesn't fit the 4 capabilities?

The 4 capabilities cover most service businesses. If you have a flow specific to your industry, such as compliance forms, client package and membership systems, or integrations with internal systems, we build custom modules, quoted separately on a dedicated call. Why not just subscribe to off-the-shelf software (CRM, booking, chatbot)?

You can, and some are good tools. The difference: who configures them, who connects them to your WhatsApp and your site, who fixes them when they break, and who checks monthly that they're producing results. With us you pay for a system that works and someone accountable for it, not a tool abandoned after two months.

I already have a CRM / a booking system. Do I have to drop it?

No. You keep what works. We connect your existing tools to each other and fill in only what's missing.

How does the Flowetica Dashboard work?

The Flowetica Dashboard shows you your system's core indicators: inquiries captured, bookings, automations run, hours saved and site traffic, in real time, on a single screen. It is a visualization panel, included free with any subscription, so the value of the systems we run for you is always visible. Full administration panels, such as booking management, forms specific to your industry, or a CRM with editing, are custom modules, built and quoted separately.

What does an AI front desk do?

The Flowetica AI front desk answers your calls and WhatsApp messages 24/7. It qualifies leads, answers common questions, books clients straight into your calendar and escalates complex cases to you. Your clients get an instant answer at any hour, including outside business hours.

Does the client realize they're talking to a system?

Yes, and that's intentional. The system says what it is from the start. Hiding it creates a much bigger problem the moment the client figures it out on their own — and they do.

What happens when it gets a question it doesn't know the answer to?

It says it doesn't know and hands the case over to you, with the full context of the conversation. It doesn't improvise. We'd rather have an honest "I'll get back to you" than wrong information delivered with confidence.

Can I switch off automatic replies for a specific conversation?

Yes, at any time. When you step into the conversation, the system automatically steps back from it and stops replying over you.

Does it work on the phone too, not just in writing?

Yes. Call handling is configured separately from messages, because the rules differ — on the phone, where it stops and hands over to a person matters much more.

Could my WhatsApp account get blocked?

No, because we only use the official WhatsApp Business API. Solutions that automate a regular WhatsApp account really do risk getting blocked — which is why we don't work that way.

Do I need a new phone number?

Usually yes, for the WhatsApp Business API account. Your current number can stay for calls, and on the call we settle on the option that disrupts things the least.

Can I see what the system replied while I was away?

Yes, every conversation is kept in full. There are no automatic replies you can't read afterwards.

Automations, bookings and CRM

Do I have to change the apps I use?

Generally, no. We build on what you already have — calendar, email, spreadsheets, CRM, invoicing software. We only suggest a change when a tool genuinely blocks the automation, and we tell you exactly why.

How long until I see the first result?

The first automated workflow usually goes live within 2 to 4 weeks of the 30-minute call, depending on complexity. The rest is added one piece at a time, so we never have to stop the business to install something.

What happens if my process changes six months from now?

Changes are included in the monthly subscription. A system that can't change becomes an obstacle, not a help — that's why we don't just sell an installation and leave.

What happens if the automation gets something wrong?

You get a notification on every failure, saying exactly what broke. That's the practical difference from a bad manual process: there, the mistake is discovered by the client; here, you know the minute it happens. Nothing runs silently.

Do I become dependent on you?

The process map and the documentation stay with you, in a form a person can read. If you work with someone else tomorrow, they have somewhere to start. We don't hold your process hostage in a format only we understand.

I only have three employees. Is it too early?

It depends on how many times a week the step repeats, not on how many of you there are. A three-person business handling forty requests a week has more to gain than a fifteen-person one handling five. On the call, we count repetitions, not employees.

How much do no-shows actually drop?

We don't know, and we won't make up a number. It depends on how far ahead bookings are made, on the type of service and on how used your clients are to confirming. What we can describe is the mechanism: the 24-hour reminder catches people who had forgotten, and the reschedule link turns a silent no-show into a free slot you can give to someone else. After two months of running, we show you your own number, not someone else's average.

Does it actually reduce no-shows, or just flag them earlier?

It flags them earlier, and that's half the gain: the slot can go to someone else. The other half comes from the reminder at the right moment, which catches clients who had simply forgotten.

Does it work with Google Calendar?

Yes, and with most common calendars. If you use management software with its own built-in calendar, we check on the call whether it has an API — it usually does.

Can I block certain slots so nobody can book them?

Yes. Any event marked as busy in your calendar blocks the slot automatically, with nothing extra for you to do.

When does the reminder go out?

By default 24 hours before, because that's where the reschedule gets caught — the client has time to reorganize, and you have time to give the slot to someone else. One an hour before only catches the cancellation, which is too late to be of use to anyone. A second one can be added if the service calls for it.

Does the client need to create an account to book?

No. Booking and rescheduling happen from a link, with no password and no app to install. Every extra step loses people who had already made up their minds.

What happens if two clients pick the same slot at the same time?

Only the first one gets confirmed. The calendar is the source of truth, and the slot is locked at the moment of confirmation, not when the link is opened. The second one sees it's no longer free and gets the nearest alternatives.

Do I have to buy an expensive CRM?

No. We work with the CRM you have, and if you don't have one, we start with a free or low-cost option. An expensive CRM used badly is worse than a well-kept spreadsheet.

What happens to my clients' data?

It stays yours, in your accounts. We build and maintain the system, we don't keep the database on our side. The details are in the privacy policy.

Does it work if we sell over the phone, not online?

Yes, and it often shows even more clearly there. Missed calls and calls never returned are the most common loss in phone sales.

What happens to client data?

It stays in your database, on infrastructure in the European Union, and only leaves it for services you already use and know about. We don't sell data and we don't use it anywhere else. When we stop working together, you get a full export, in a readable format.

So who fills in the CRM, in the end?

For the most part, nobody — that's the point. The lead comes in on its own, with its source, and the stage changes based on what happens: they replied, got a quote, signed. Manual entry is left for what can't be inferred, meaning notes and decisions. A CRM that needs manual input at every step doesn't get filled in, no matter who promises to do it.

Does it work with the CRM I already have?

Usually yes, if it has an API — we check on the call. If it doesn't, or if the one you have is empty because nobody fills it in, we say so then: a second tool on top of a process problem makes the problem faster, it doesn't fix it.

Data and coverage

Is my data safe?

Your data is stored on EU infrastructure and used only to provide our services. We never sell it. Analytics run only after you accept cookies. Full details in the Privacy Policy and the Cookie Policy.
