Appointments and no-shows

Appointment automation, fewer no-shows

A no-show costs the whole slot, which you'd have given to someone else if you'd known a day earlier. The system takes the booking from a message, confirms, sends a reminder and lets the client reschedule alone, from a link.

What it solves

  • Bookings are made over messages and reach the calendar late.
  • You find out about a no-show when the client doesn't turn up, and the slot stays empty.
  • One reschedule: five messages and an hour of waiting.
  • Only the person who keeps the schedule knows what's free, and double bookings show up at the door.

What you get

  • Booking straight from the conversation, into your calendar
  • Instant confirmation and a reminder before the session
  • Rescheduling and cancelling from a link, with the freed slot flagged
  • Busy slots blocked automatically, with rules per service

How it's built

  1. 01

    We connect your real calendar

The system reads availability from the calendar you already keep. You don't have to maintain two parallel schedules.

  2. 02

    We set your rules

Duration per service type, breaks, minimum notice, who can book directly and who goes through you. All of it can be changed later.

  3. 03

We set up the confirmation and the reminder

Timing matters more than wording. A reminder 24 hours before catches the reschedule; one an hour before only catches the cancellation.

  4. 04

    We open up one-click rescheduling

A client who can no longer make it has a link, not a phone number. The slot frees itself up and can be offered to someone else.

When it doesn't fit you

  • You take payment in advance and everyone turns up anyway: the reminder is a courtesy, not a saving.
  • You have fewer than ten appointments a week. A calendar and a message typed by hand cover it.
  • The no-shows all come from one repeat client. That's a conversation, not a system.

The first is the most common and the easiest to miss: if you take payment in advance, the gain is much smaller than it looks.

The price depends on the calendar you use, on how many rules your booking has, and on whether freed-up slots are automatically re-offered. See the packages →

Questions · Appointment automation

How much do no-shows actually drop?

We don't know, and we won't make up a number. It depends on how far ahead bookings are made, on the type of service and on how used your clients are to confirming. What we can describe is the mechanism: the 24-hour reminder catches people who had forgotten, and the reschedule link turns a silent no-show into a free slot you can give to someone else. After two months of running, we show you your own number, not someone else's average.

Does it actually reduce no-shows, or just flag them earlier?

It flags them earlier, and that's half the gain: the slot can go to someone else. The other half comes from the reminder at the right moment, which catches clients who had simply forgotten.

Does it work with Google Calendar?

Yes, and with most common calendars. If you use management software with its own built-in calendar, we check on the call whether it has an API. It usually does.

Can I block certain slots so nobody can book them?

Yes. Any event marked as busy in your calendar blocks the slot automatically, with nothing extra for you to do.

When does the reminder go out?

By default 24 hours before, because that's where the reschedule gets caught: the client has time to reorganize, and you have time to give the slot to someone else. One an hour before only catches the cancellation, which is too late to be of use to anyone. A second one can be added if the service calls for it.

Does the client need to create an account to book?

No. Booking and rescheduling happen from a link, with no password and no app to install. Every extra step loses people who had already made up their minds.

What happens if two clients pick the same slot at the same time?

Only the first one gets confirmed. The calendar is the source of truth, and the slot is locked at the moment of confirmation, not when the link is opened. The second one sees it's no longer free and gets the nearest alternatives.
